How to Enroll a Faculty/Staff Dependant

  1. Go to the insurance webpage: https://safetyabroad.illinois.edu/insurance/enroll/faculty-staff.html
  2. Select “ENROLL A FACULTY/STAFF DEPENDANT”.
  3. Read the information and the webpage and gather the required information.
  4. Scroll down and select “ENROLL FACULTY/STAFF DEPENDENT BY PROXY”
  5. Log in to My Study Abroad by choosing “I have a UIUC NetID and NETID password.”
    • My Study Abroad sometimes re-routes users to the general page. If this happens, go back to the link in Step 2 above and repeat Step 4 as well.
    • If this is the first time enrolling this dependent, follow Steps 6A immediately below.
    • If you have previously enrolled this dependent, continue to page 3 and follow Steps 6B.
  6. Please see below:
    • A-1: On the new page, select “NEW USER” at the bottom and enter the dependent’s email address. If the dependent is a child without their own email, you can create an email for them or use your personal email. Then click “ADD”.
      • (Use real email addresses because the insurance letters are sent to those addresses. If enrolling multiple family members, each email must be unique.)
    • A-2: Complete the New User Form Information. For choosing the institution, select “Illinois” as the state/territory and then “–Other/Not found–” from the institution box. “Other/Not Found” will be the first choice at the top. You can type UIUC in the box or leave it blank. Then Click “CREATE NEW.”
    • A-3: The enrollment form will open for you to complete in one step. Add your personal email or your Illinois email in the “CC Email Address” box. Then continue to Step 7 lower on this page.
    • B-1: On the new page, select “NEW USER” at the bottom and enter the dependent’s email address. Enter the same email that you used for the dependent last time. Then click “ADD”.
    • B-2: It will now show you your dependent’s previous profile information. If this is correct, choose “Yes”. If it is incorrect, you can try a different email or create a new profile by following Steps 6A-1 through 6A-3.
    • B-3: Check that the information in the profile page is correct, including the “CC Email Address”.
  7. Complete the rest of the enrollment.
    • Itinerary
      • Please enter each location and dates to be visited. To add multiple locations, click “Add to Itinerary” after each location. This will determine the coverage dates for insurance. The insurance is global, so if there is a change during travel, travelers are still covered if they are outside the United States.
      • The dependent itinerary must match the dates and location of the employee or fall within their travel window.
    • Personal Information
      • Provide the dependent’s date of birth and gender but provide the staff member’s UIN. (If the ‘dependent’ being enrolled is also a university employee, you can chose which UIN to input for billing. The UIN is charged.)
    • Contact Information (In-country)
      • Information for your dependents should be the same as your enrollment. This information is to contact you in an emergency abroad.
    • Department Information (Dependent)
      • For question #1, please list the employee’s Department/College/Unit.
      • For question #2, please list the employee’s name that this dependent is connected to.
    • The rest should be self-explanatory. Please provide as much information as possible as it helps us in an emergency. Passport information is encouraged so ISS can assist in an emergency, but not required. If participating in a group program, you may need to speak with the coordinator for contact information in country. If you or your dependent has a cell phone with international coverage, please provide that information.
  8. Select “Update.” The information will be sent to ISS and the insurance enrollment will be processed. We process several times a week and upload to the insurance. The insurance company can take up to five business days to process the upload.

Please note, because the University has a group policy for faculty and staff. Therefore, Travelers are considered enrolled as soon as “Update” is selected. The enrollment timeline may lag by several days to be processed, but the traveler is covered if traveling before processing is complete. (ISS still encourages travelers to submit in advance.)
